Shums Coda Associates, Inc. is a privately held company providing professional Building and Safety Consulting Services to jurisdictions to verify conformance with Building Codes. We are seeking a part-time (possibly full-time) Proposal Coordinator to oversee the end-to-end process of preparing, managing, and submitting proposals for various projects and contracts. This role requires strong project management skills, exceptional writing abilities, and a keen understanding of the client’s needs and the competitive landscape. The Proposal Manager will coordinate with cross-functional teams to ensure proposals are comprehensive, accurate, and submitted on time, aligning with the company's objectives and client expectations.


Job requirements

RESPONSIBILITIES

  • Lead the preparation, development, and submission of proposals in response to Requests for Proposals (RFPs), Requests for Qualifications (RFQs), etc.
  • Determine proposal requirements and coordinate with Regional Managers and Executives to draft compliant, compelling proposals in response to government solicitations.
  • Manage the proposal lifecycle, from initiation to final submission, ensuring that all deadlines are met, and requirements are fully addressed.
  • Coordinate with Regional Managers and Executives to write and edit proposal sections, ensuring clarity, consistency, and compliance with client specifications and company standards.
  • Ensure proposals are competitive, compelling, and aligned with the company’s strategy.
  • Ensure all proposals adhere to corporate branding, messaging, and formatting standards.
  • Manage documents and update assets in corporate library for use in standard proposals.

MINIMUM QUALIFICATIONS

  • Proficient with MS Office products such as MS Word, Excel, PowerPoint, Visio, MS Teams, SharePoint and others
  • Ability to work in a time-sensitive environment and meet all deadlines
  • Self-starter; works effectively and productively with limited supervision
  • Excellent organizational skills; attention to detail and follow-through
  • Bachelor’s degree in Business Administration, Communications, Marketing, English, or a related field
  • Experience in proposal management a plus
